Off-Campus Graduate Tuition Reimbursement

What is covered?
- On-Campus and Online Graduate Programs from an accredited institution of higher education.
- One graduate-level program per employee.
- Reimbursement for approved courses with a grade of B or higher.
- Maximum reimbursement of tuition rate at the appropriate Shawnee State’s Master’s or Doctoral in-state tuition rate.
- Only courses required for the attainment of the degree as approved in the Pre-Approval Application.
What is not covered?
- Elective Professional Development training or programs.
- Any graduate program offered by Shawnee State University (on-campus or online) from a different institution.
Note:
An employee awarded this off-campus education benefit will agree in writing to remain employed at the University for at least two (2) years from the end date of the term of the approved coursework. If not, the employee agrees to repay the tuition reimbursement amount received.
- Full-time administrative employees with at least two (2) years of continuous service.
- Must develop and submit a written plan through applicable supervisory and management
levels, including the President, requesting approval to participate in the program
including:
- Description of the program and concise explanation of the necessity to participate in such program
- Expected length of the program
- Relation of the program to the employee’s current job responsibilities, how the program enhances the employee’s department and the University, and how the program will assist the employee’s transition into career-related positions at the University
- Impact on the employee’s workload and the workload of colleagues within the department

Reimbursement
- After receiving approval to begin the program, this form will need to be completed each semester courses are taken.

Faculty
What is covered?
- On-Campus and Online Graduate Programs from an accredited institution of higher education.
- One graduate-level program per employee.
- Reimbursement for approved courses with a grade of B or higher.
- Maximum reimbursement of tuition rate at the appropriate Shawnee State’s Master’s or Doctoral in-state tuition rate.
- Only courses that contribute towards successful degree completion.
- Reimbursement shall be available for the duration of the advanced degree sought not to exceed $5,250 per faculty member per year.
- Six (6) hours per semester or Nine (9) hours per quarter of reimbursable studies.
- Non-traditionally structured graduate programs may be reimbursed based on a pro-rated basis subject to the CBA.
What is not covered?
- Any graduate program offered by Shawnee State University (on-campus or online) from a different institution.
- Faculty who are seeking a degree in the department they currently teach (or have taught in the previous 10 years) should seek approval for an off-campus program.

Note:
An employee awarded this off-campus education benefit will agree in writing to remain employed at the University for at least two (2) years from the end date of the term of the approved coursework. If not, the employee agrees to repay the tuition reimbursement amount received.
- Bargaining Unit Members with at least two (2) years of continuous full-time service.
- Prior approvals of the course of study by the Dean and concurrence by the Provost
are required. The written plan must include:
- Description of the program and concise explanation of the necessity to participate in such program
- Expected length of the program
- Relation of the program to the employee’s current job responsibilities, how the program enhances the employee’s department and the University, and how the program will assist the employee’s transition into career-related positions at the University
- Impact on the employee’s workload and the workload of colleagues within the department
- After initial approval, subsequent requests for reimbursement for the same course of study must be submitted through the Department Chairperson/School Director and approved by the Dean.
